What to Do When Your Commercial HVAC System Fails Unexpectedly

The first thing to do when your HVAC system fails is to assess the problem. Here are some steps to take immediately:

  • Look for Any Obvious Damage – Look for damage, like loose components or broken wires.

Doing these things first will let you know if you have a true emergency or if you have something that can be fixed without calling a professional to check your system. It will also give you information to tell them when you call them, so they know what they may be dealing with.

When you have a commercial HVAC system failure, one of the things that you have to do is to protect your business. Here are some things that you can do to let everyone know you’re on top of things. 

Use Temporary Solutions

The first thing you want to do is to make sure everyone’s comfortable.

  • Use Fans/Open Windows – If it happens during summer, keep employees and customers cool by using fans and opening windows. This will circulate the air and help the building stay cool.
  • Use Portable Heaters – During wintertime, have portable heaters ready to go to keep everyone comfortable.

Once comfort is taken care of, you want to communicate with everyone.

  • Inform Your Staff – Let your employees know about the issues with the HVAC system and any changes to their work procedures or schedules.
  • Inform Your Customers – Tell your customers about your situation and any measures you are temporarily taking to resolve it. Also, let them know when the repairs are expected to be done.

  • What the conditions were during the problem  – weather, temperature, etc.
  • Signs that you had a problem – any smells, sounds, or conditions of the equipment

Once the professional has finished fixing the problem, you can also add:

  • The date it was fixed
  • Time it was fixed
  • Name of technician
  • What the technician’s recommendations were

You can also make a copy of what the tech says. This will help you keep track of problems, repairs, or replacements. 

Plan to Prevent Future Emergencies

Although some emergencies are beyond your control, many emergencies can be avoided if you take the proper steps. 

  • Have Regular Maintenance and Inspections– Having your system regularly maintained will help avoid many emergencies. When you have your system inspected and maintained regularly, problems and potential problems are spotted.
  • Pay Attention – Another thing that you can do is pay attention to your system. Learn to listen to it. This will help you know when there’s a problem. Learn how it usually sounds and smells. If you notice something different, it’s best to have it checked. 
  • Change the Filters – This is simple but effective. Not only will it help it be efficient, but it will also help the system last longer.
  • Have a Reliable Service – Before you have an emergency, choose reliable emergency HVAC services that are available 24/7.

In conclusion

It’s not so much if you’ll need emergency HVAC services, but when. So you want to be ready for a surprise HVAC breakdown. Take good care of your system, and you may not need  HVAC emergency responses as often as you would otherwise.
